1. Who We Are

PeopleIQ SA (Pty) Ltd ("PeopleIQ SA", "we", "us", "our") is an AI-powered Human Resources and Workforce Intelligence Platform built specifically for South African businesses. We are the responsible party as defined in the Protection of Personal Information Act 4 of 2013 ("POPIA") in respect of personal information processed through our website at peopleiqsa.co.za and our platform at app.peopleiqsa.co.za.

2. What Personal Information We Collect

We collect personal information in the following categories:

2.1 Website Visitor Information

• IP address and approximate location
• Browser type and device information
• Pages visited and time spent on pages
• Referring website
• Cookie identifiers (see our Cookie Policy)

2.2 Contact and Enquiry Information

• Full name, email address, phone number
• Company name and size
• Nature of your enquiry or demo request

2.3 Newsletter Subscription Information

• First name and email address
• Company and job role (optional)
• Subscription preferences and consent record

2.4 Payment Onboarding Information

• Company name and billing contact details
• Billing email address
• Payment reference numbers (Paystack-generated)
• Masked card details (last 4 digits and card type only we do not store full card numbers)
• Subscription plan and amount

2.5 HR and Employee Data (Platform Users)

When your organisation subscribes to the PeopleIQ SA platform, you may upload or input personal information about your employees, including:

• Names, identity numbers, contact details
• Employment history, job titles and remuneration
• Performance records and KPI scores
• Leave records and absence data
• Skills, qualifications and training records
• BEE and employment equity information
• Disciplinary and grievance records

In respect of employee data, you (the subscriber organisation) are the responsible party, and PeopleIQ SA acts as the operator processing data on your behalf in accordance with your instructions.

3. How We Use Your Information

• To respond to contact and demo enquiries
• To provide and manage your platform subscription
• To process payments via Paystack
• To send newsletters and HR insights (with your consent)
• To improve and develop our platform and services
• To comply with our legal obligations
• To detect and prevent fraud or misuse

4. AI-Assisted Processing

PeopleIQ SA uses artificial intelligence to provide workforce insights, recommendations, pattern recognition and data analysis. All AI-generated insights are advisory only. No AI system makes final HR decisions on behalf of your organisation. Decisions affecting employees (hiring, promotion, discipline, dismissal) remain the responsibility of appropriately qualified human decision-makers within your organisation.

5. Data Sharing with Service Providers

We share personal information only with:

• Paystack (Pty) Ltd for secure payment processing
• Google LLC for analytics (Google Analytics 4) and productivity tools
• Replit Inc. cloud hosting infrastructure
• PostgreSQL database providers for secure data storage

We do not sell, rent or trade your personal information to third parties for marketing purposes.

6. Data Security

We implement appropriate technical and organisational measures to protect personal information, including:

• Encrypted data transmission (HTTPS/TLS)
• Encrypted database storage
• Access controls and authentication requirements
• Regular security reviews

No method of transmission over the internet is completely secure. We cannot guarantee absolute security but commit to reporting material breaches in accordance with POPIA.

7. Data Retention

• Contact and enquiry data: 2 years or until you request deletion
• Newsletter subscriptions: Until you unsubscribe
• Payment records: 5 years (financial record-keeping obligations)
• Platform HR data: For the duration of your subscription + 90 days after termination (for data export)

8. Your Rights as a Data Subject

In terms of POPIA, you have the right to:

• Be notified when your personal information is collected
• Access your personal information held by us
• Request correction of inaccurate information
• Request deletion of your personal information (subject to legal retention obligations)
• Object to the processing of your personal information
• Lodge a complaint with the Information Regulator of South Africa

9. Cross-Border Data Transfers

Some of our service providers (including Replit Inc. and Google LLC) are based outside South Africa. Where personal information is transferred internationally, we ensure appropriate safeguards are in place in accordance with POPIA section 72.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated by updating the date at the top of this page and, where appropriate, by email notification.
